The 'Visible to' setting allows admins to control who can see content. This includes Membership Levels, Shop Items, Public Pages, and Custom Fields.
This means you can preview and test options before making them available to everyone. It can also be used as a way to restrict content to members only or be used to create a membership approval process.
In general, there's three levels of visibility:
Admins only
Restricts visibility to only administrators – useful for testing or for Membership Levels like Life Members.Groups
Only contacts in selected groups have access.Public
Anyone visiting your public pages can view.
For MEMBERSHIP LEVELS ONLY, there is also a fourth option: "anyone with the link". This means that people who have access to the link will be able to see and sign up to that Membership Level but it will not be available to the general public on your website. It's a great way to offer a membership that may be a lower price for financial hardship cases, for example.
Worked example: government voucher schemes (e.g. Get Active Kids)
Several Australian state governments run kids' sport/activity voucher schemes redeemable against membership fees. A repeatable pattern for these using "anyone with the link":
Create the discounted or $0 Membership Level, with Visible to set to anyone with the link - it won't appear on your public Memberships page.
Add a required Custom Field on that level to capture the voucher code, so registrants must enter a valid code to complete sign-up.
Share the direct sign-up link only with families who've obtained a voucher (e.g. via your newsletter or in person) - not on your general membership page.
One thing to watch each season: TidyHQ will pre-fill a returning member's previously-entered voucher code by default at renewal, so if codes reset each season you'll want to bulk-clear that custom field across affected contacts before the new season's registrations open, rather than relying on each family to overwrite a stale code themselves.
Although 'visible to' behaves the same way across the platform, there's a small difference with Custom Fields.
Custom Fields "Visible To"
Admin Only These fields will be visible to, and editable by, administrators only. Admin-only fields can also be included in registration forms. However, members will not see or be able to edit these fields after registration.
Public Profiles Allows contacts to view and edit these fields – useful for when you want contacts to manage their own information. What admins see is what the contact sees in their profile. If a contact updates their field, the admin side field will be updated too.
Public Profiles – Read Only Displayed like Public Profile fields, these Read Only fields will not be editable by the contact. Useful for fields that need to be viewed by the contact, but admins don't want being edited e.g. Membership Numbers.
NOTE: In this case, "public" just means visible to the Contact - the information is not available publicly for anyone else to see.
