By default, each TidyHQ install includes a pre-defined set of Roles for your Organisation.
Roles are, effectively, jobs within your Organisation. You can use the set of default Roles that are provided in TidyHQ or you can create your own.
Each Role can have one, or multiple, administrators assigned to it, and these can be changed at any time.
Roles help with the governance of your organisation and are very useful when your committee experiences turnover, as any Tasks or Meeting agenda items allocated to the Role will automatically move over to the new person assigned to that Role.
You can also document the responsibilities of the Role and use this when recruiting new volunteers to your organisation.
Adding an administrator into a Role
You can only assign someone to a Role if they have already been given administrator permission for at least one App.
Go to Admins & Roles > Roles.
If the Role you want to assign has already been created, click on its name.
If you want to create a new Role, click +New Role.
Enter the name of the role in the "Role Title" field. You can also enter the responsibilities of the Role in the "Responsibilities" field (you can also come back and edit this later if needed).
Type the name of the Administrator you want to assign to this Role in the "Admin" field.
You can also tick the box next to "Allow for Messaging" if you would like to set up a Role Specific email address that will divert email to this administrator's inbox (find more on that here).
Click Save.
Changing who is assigned to a Role
If the administrator assigned to a Role resigns from your committee or moves to a different role, it is very simple to move all their allocated tasks etc to a different person.
First, make sure the person you want to reassign the Role to has administrator permissions for at least one App.
Go to Admins & Roles > Roles, and click on the name of the Role that you wish to change.
The current administrator assigned to the Role will be listed; click on the "X" box to the far right of their name. This will remove them from the Role.
Then type in the name of the new administrator you wish to assign to the Role in the "Admin" field.
Click Save.
Deleting a Role
If your Organisation no longer requires a specific Role, you can delete it from TidyHQ.
Go to Admins & Roles > Roles, and click on the name of the Role you wish to delete.
Click Delete.
A confirmation box will appear; click OK.
