The Storage area in TidyHQ is an excellent place to store key documents your organisation uses, such as your policies & procedures, constitution and logo. Your TidyHQ account comes with 25GB of storage absolutely free!
Only Administrators with the Storage App permission can upload files into Storage. However, each document is uploaded with its own unique link, which you can share with others outside of your organisation should they require access to the document.
You'll also need to have the Storage app enabled.
In this article:
Uploading a file
Go to Storage > My files. Click the blue New button and select Upload from the drop-down menu.
Click the blue Add Files button.
Navigate to the file(s) you wish to upload from your computer and confirm.
The file(s) you have chosen will begin uploading automatically. Once the status bar is full and a green tick appears to the right, the upload is complete. If an upload is still incomplete, you can Cancel it.
Click Close or select one of the options on the left, such as My Files, to go back to your Storage directory where you will now find the file.
File size limitation: Please note there is a 2Gb limit on the size of any individual file or image you upload. Ideally you would not upload files of that capacity owing to the total storage space of 25Gb you receive with your account.
Creating folders
We recommend you organise your files into various folders so they are easy to locate.
To create your folder structure, go to Storage, click the blue New button, and select New Folder from the drop-down menu.
Type in the name of the folder and click Save.
Moving files and folders
Go to Storage > My files and locate the file or folder you wish to move. To select one or more items, click in the small box to the left of each item's name to select it (1). When one or more items are selected, Move and Delete options appear - click on Move (2).
Single items can also be moved via clicking on the three dots to the right of their name.
Click on a specific folder name (3) to open it up, or on Files up the top of the list if moving an item from a folder back to the top level.
If the selected folder has subfolders, you can repeat the process to choose a subfolder. Once you're in the right folder, click Move (4) to move your selected items there.
Deleting files and folders
Go to Storage > My files and locate the file or folder you wish to move. To select one or more items, click in the small box to the left of each item's name to select it (1). When one or more items are selected, Move and Delete options appear - click on Delete (2).
When a confirmation box appears, click the red Move to Trash button.
Restoring a deleted file
To restore your file from the Trash, click Trash from the main menu of your organisation's dashboard (directly under Archive).
Click the "Storage" tab. Find the file you wish to restore, and click the blue Restore button on the right. Your file will now be restored to your Storage App.
You will also notice that a record of who actually trashed the file is here, as well as in the Activity feed.
Replacing files
If you need to update a file (e.g. to fix a typo) upload the new version alongside the old version.
You will need to replace any existing Share Links to point at the new version of the file.
This is because every time you upload a file, a new unique share link is generated.
Renaming folders
Go to Storage > My files and locate folder you wish to rename. Click the three dots to the right of its name, then select Rename from the drop-down menu.
Update the text in the text box and then click Save.
Sharing a folder to your Connected Organisations
Go to Storage > My files and locate the folder you wish to share. Click the three dots to the right of its name, then select Share folder from the drop-down menu.
You can choose to share a folder with specific connected organisations, with all organisations, or with a Contact Group containing specific organisations as contacts.
Once shared, a folder will have an icon next to its name:
Your Connected Organisations will see the folder appear in their Shared With Me section. Shared folders are read-only for the recipient.
Searching for Files and Folders
Go to Storage > My files, then type in the Search Files text box up the top to search files and folders by name.
Note: shared files and folders can't be searched for at this time.
