Email Snippets

Save and reuse blocks of email content — name, subject, and body — ready to insert into any new email, reply, or forward in Communicate.

Snippets let you save blocks of email content — complete with a name, subject line, and body — and reuse them across new emails, replies, and forwards in Communicate. Whether it's your standard event follow-up, a membership prompt, or your organisation's contact details, snippets save you from writing the same thing over and over.

Creating a snippet

1. Open the snippet form

Go to Communicate, then click New > New Email Snippet:

2. Fill in the details

Enter a value in each field:

  • Name — a label for your own reference. This is what appears when you choose a snippet from the insert menu while composing.

  • Subject — the subject line to go with this snippet. When you insert the snippet into a message with a blank subject, this value fills in automatically. If a subject is already entered, it is left as-is.

  • Body — the content of your snippet. Use the formatting toolbar, or switch to the HTML editor for more control. You can include images and merge tags.

Click Save.

Inserting a snippet

When composing a new email, or when replying to or forwarding a message, select Insert Snippet from the picker (below the list of Merge Tags). Choose the snippet you want and its body content will be added to your message. If the subject line is still blank, the snippet subject fills it in automatically.


Snippets are inserted at the cursor (where text would appear when you type). You can insert multiple snippets, and also edit the inserted content before sending, just like any other text in your message.

Merge tags in snippets

Snippets support merge tags, so you can personalise content with details like a contact's first name or your organisation's name. TidyHQ substitutes the tags with real values when the email is sent.

A few things to keep in mind:

  • Merge tags work in the body only — they are not available in the subject line.

  • In replies and forwards, merge tags in your inserted snippet content are substituted as normal.

    • The quoted email history below your reply is left unchanged. (Specifically, merge tags are applied up until the first blockquote.)

Managing your snippets

All saved snippets are listed under Communicate > Email Snippets. From here you can:

  • Edit — click a snippet name to update its name, subject, or body.

  • Preview — see how the snippet will look, including how merge tags are rendered.

  • Delete — remove a single snippet from its detail view.

  • Bulk delete — tick the checkboxes next to multiple snippets, then choose Delete selected to remove them all at once.
