Using Merge Tags and Custom Fields

Merge Tags, including those of Custom Fields, can be used when you send an email, or when TidyHQ sends one for you.

Common use cases are for personalising welcome, renewal and expiry messages and of course the regular notices emails from your organisation.

Say goodbye to "Dear members" and hello to "Hi {{first_name}}"!

If you need more personalisation than just someone's first name, that's available too. Several built-in fields and all Custom Fields can be used.

How do I use a built-in Merge Tag?

When writing an email, Merge Tags are denoted with double curly braces around the name of the tag.

Most built-in tags derive from the Contact's personal info:

Contact profile field

Merge Tag

First Name

{{first_name}}

Last Name

{{last_name}}

Contact ID Number

{{contact_id}}

Contact Email
โ€‹(the primary email address, if several are listed)

{{email_address}}

Nickname

{{nick_name}}

Occupation

{{occupation}}

Company

{{company}}

Two more built-in tags are available which are not listed on the Contact profile:

  • The recipient's full name (combining first and last names): {{full_name}}

  • The sending organisation's name: {{org_name}}

How do I use a Merge Tag for a Custom Field?

Since Custom Fields can have their title changed at any time, we instead refer to them using a fixed autogenerated code: {{custom_field_CODE}}.

Go to Organisation Settings > Custom Fields, then click on the relevant Custom Field's name to review its Mail Merge Tag:

Can I preview a message with merge tags?

Yes! Click the small grey Preview button at the bottom-left of the text box.

Please note that in the preview, the merge tags will be filled out with your own details โ€” even if you are not a recipient.

When are Merge Tags not available?

Merge Tags are not available in any replies, because they might be triggered by something written by someone else.

They are also not available in the subject line of an email, just the body.

They are also unavailable in SMS, because they change the length of each message, which in turn makes pricing more complicated.
