Step-by-Step Guide to Update a Contact with Custom Fields using Zapier 🧙‍♂️✨

Hey there, we're here to guide you through the process of updating a contact’s custom fields in TidyHQ using Zapier, then creating a smart group from a particular field.

Prerequisites

For this example, we created a Custom Field named “Has RSA Certificate” as a checkbox in TidyHQ. Note that any field can be used for Smart Groups.

Step 1: Choose Your Trigger

  • Log in to Zapier and click on the Create Zap button.

  • For your Trigger, select the app and event that initiates the contact update. This could be a form submission, a new email subscriber, or any event where contact information comes your way.

Step 2: Set Up a Search Action in TidyHQ

  • After setting your trigger, it's time to add an Action. Choose TidyHQ as your action app.

  • Select the Find Contact action.

  • Connect your TidyHQ account if you haven't already.

  • Set up your search. Typically, you'll search by email since it's a unique identifier. Fill in the fields necessary to locate your contact's existing record.

Step 3: Update the Contact

  • After the Find Contact action, add another Action.

  • This time, choose the Update Contact action for TidyHQ.

  • Use the Tidy-Assigned Identifier for Contact from the previous search result as the identifier for the update. This makes sure you're updating the correct contact.

Step 4: Mapping form options for TidyHQ in Zapier

Sometimes options from a form may not perfectly match the options in a later action. This is where built-in tools such as a Lookup Table from Zapier’s Formatter help us out.

For this example, the checkbox field in TidyHQ for Has RSA which only accepts “True” or “False”, whereas our form collects “Yes” or “No”.

To solve this we’ll add a step after our form to map “Yes” to “True” and “No” to “False” for use in the update step. The app is Formatter by Zapier and the event is Utilities. From the action tab, change the Transform to Lookup Table and fill in the relevant fields.

Using Smart Groups with the Custom Field

To group contacts who have an RSA certificate, we will create a smart group.

All we need to do is under Smart Group Filters, click on Add Filter, select your field and then what condition or value it needs to have to be added to this group.

In this example, we’d like the “Has RSA Certificate” field to be set to true as seen in the image below.

After this Smart Group is made, whenever a form submission is received (or any other source to update your contacts), it will update the custom field, and automagically add them to the Smart Group.
