How to Re-Activate a Cancelled Membership

If a member's subscription shows as Cancelled, you can reinstate it from the membership's detail page. Here's the fastest way to find and fix them, including what to watch for if a contact has multiple membership records.

Step 1 — Find the cancelled memberships

Go to Memberships > Reports in the left sidebar.

Filter the list by:

  • Status: Cancelled

  • Date: Today (this shows memberships whose end date is still in the future)

  • Plus other options as applicable.

Step 2 — Open the membership record

Click the membership number in the leftmost column — not the contact's name.

  • The name link opens the contact's profile (membership actions are limited from here)

  • The number link opens the specific membership instance, where you'll find the full set of actions including Activate Subscription.

Step 3 — Activate the subscription

On the membership detail page, click Activate Subscription.

⚠️ Fix the dates after activating. Reactivating resets the membership to a new term starting today. You'll need to manually correct the Start Date and End Date to match the member's original period. Click directly on either date field to edit it.

What if the contact has multiple subscription records in the membership?

Contacts who migrated from another system may have more than one membership record — for example, an older active or expired record and a newer cancelled one. Because Cancelled takes priority over Expired, the member will show as Cancelled even if there's an older active record sitting behind it.

The fix: edit the Start Date and End Date on the unwanted cancelled record so it falls before the active one — for example, set both to today. This moves it out of the way without deleting it.

Working through a large batch

If you've got many members to fix:

  • Open multiple membership records in new tabs using Ctrl+click (or Cmd+click on Mac) on the number links in the Reports list.

  • Work in batches of 10–20 at a time.

  • Review each record individually — some members may not have a payment recorded in TidyHQ if payment was handled outside the system before import. You can still activate their membership; just note whether a payment record is needed.

What if a Contact was deleted?

When a Contact is deleted, any Memberships they hold are cancelled, and they are unlinked from the membership record. This is why some contact names are blank in the Memberships > Reports screenshot earlier.

Restoring a Contact from Trash doesn't re-link their membership automatically.

Usually, it's possible to identify which contact the membership was for using the Activity Feed at the bottom of the membership detail page (1).

To (re)-link a contact to the membership, type their name in the Pick a Contact box (2) and then click Add New Member.
