Add member to new membership level
On the left side bar, navigate to Memberships > Membership Levels.
Using the green button 'new' at the top of the screen, click New Membership.
Select the Membership Level from the drop-down list and select Continue.
On the Existing Contact tab, use the "Pick a Contact" field to search for and select your Member and click Continue.
If this Membership Level has a membership fee, you will need to indicate if the fee is paid, needs an invoice or is paying now. If some of the original membership level fee is being counted towards the new level, then a partial payment can be recorded.
Cancel previous membership level
To finish the transfer process, you need to cancel the contact's previous membership level.
Navigate to Memberships > Reports.
At the end of the line under actions, click the Cancel button to cancel the previous membership level.
Why cancelling the old membership matters
If you don't cancel the previous membership level, both memberships will exist at the same time. The old level will continue sending renewal reminders and expiry notices independently — even if the member is already active on the new level. Cancelling it stops those messages and keeps the member's record clean.
Moving at renewal time
The steps above work well for a mid-period level change. If the move is happening at renewal — for example, a member aging from Junior to Senior for next season — the situation is a little different.
There's currently no "renew into a different level" path in TidyHQ. The typical flow is to create the new membership at the new level, which means the old one is left running toward its natural expiry. If you cancel it, the historical record will show as Cancelled rather than Expired, which may not be what you want. But if you leave it to expire, its expiry notice and reminder emails will still fire.
The cleanest workaround for the at-renewal scenario is to cancel the old membership once the new period has started, accepting the Cancelled status on the historical record. If that's not acceptable, you can turn off the expiry messages on the old membership level — but note that's a level-wide setting that affects all members on it, not just this one.
